How we work
How our projects work
Every project runs the same way: a free call, a fixed quote within 3 working days, a demo every week while we build, and a full handover at the end. The terms that apply to all of them are below.
Step by step
From first call to handover
- 01
First call
30 minutes, free
We talk about the problem, who it affects and the systems you use now. If we are not the right fit, we say so.
- 02
Scope and fixed price
In writing, within 3 working days
A short document that sets out what we will build, what is not included, the timeline and the fixed price. Nothing starts until you agree to it.
- 03
Build
A demo every week
We show you working software every week. Your staff test it as we go, so problems are found early and the people who will use it have a say.
- 04
Handover
Everything in your name
The code goes into your repository and the system runs in your accounts. You get written instructions, a recorded walkthrough and a training session.
- 05
30-day warranty
Free bug fixes
For 30 days after handover, we fix any bug in our work free of charge.
- 06
After that
Nothing to pay each month
You owe us nothing each month. Software needs updating a few times a year: your instructions show how, or we quote a fixed price each time. New work gets a new fixed quote.
Handover
What you get at handover
Every project ends the same way, so your team, or any developer you choose, can run and change what we built.
Code in your repository
In an account you own, on GitHub or wherever you prefer.
Running in your accounts
Hosting, databases and subscriptions are in your name and billed to you directly.
Written instructions
How it works, how to make common changes and what to check if something stops working.
A recorded walkthrough
A video your team can watch again, and show to new staff.
A training session
For the people who will use it day to day.
30 days of bug fixes
If something we built does not work as agreed, we fix it free of charge.
Terms
The terms, in plain English
These points summarise how we work with you. We work with businesses, including sole traders buying for their business. The written quote you sign sets out the full terms for your project.
What counts as a change
The written scope lists what we will build. Anything outside it is a change: a new feature, page or report, connecting another system, or reworking something you have already approved.
We quote every change in writing before doing it, and you decide whether to go ahead. Fixing something that does not work as agreed is never a change. That is our job.
Payment
50% to start and 50% at handover. Over £5,000: 40% to start, 40% at a midpoint named in your quote and 20% at handover.
Invoices are due within 14 days. We are not VAT registered, so the price you see is the price you pay.
Ownership
Accounts we set up for your project, such as hosting or a payment provider, are created in your name.
Ownership of the code and everything else we make for you passes to you in full when the final invoice is paid. We hand over every login at the same time.
What we need from you
- One person who can make decisions and come to the weekly demo
- Content, data and access to your systems by the dates in the plan
- Time from the staff who will use the system, to help test it
If something we need is more than 10 working days late, the next milestone invoice becomes due. This keeps things fair to both sides if a project stalls.
